Your WooCommerce store already holds a lot of information about your customers: who they are, what they bought, how much they spent. Your CRM should hold the same picture, but too often the two systems live apart and someone has to copy data by hand.
This guide walks through the configuration of CRM in Cloud for WooCommerce, based on what the plugin actually does: connecting the two systems, exporting contacts and companies, exporting products, turning orders into opportunities, and adding the Italian e-invoicing fields to the checkout.
What the plugin does
The plugin connects your WordPress/WooCommerce site to CRM in Cloud (TeamSystem) and pushes data in one direction: from your store to the CRM. WordPress users become Contacts, their companies become Companies, WooCommerce products are exported by category, and orders become Opportunities.
Everything runs through the CRM in Cloud API, using your own account credentials. There is no external intermediary and no per-record fee.
Connecting to CRM in Cloud
The Settings tab is where the connection is made. You enter the email and password of your CRM in Cloud account and click Connect to CRM in Cloud. The plugin verifies the credentials against the API and stores the connection.
Next to it, the Disconnect from CRM in Cloud button lets you revoke the connection without touching the database. This is the first thing to configure: nothing else works until the connection is established.
Exporting contacts
The Contacts tab controls which WordPress users become contacts in the CRM.
- User roles — a multi-select of all the roles on your site. Only the roles you pick are exported, so you can send customers without sending administrators or editors.
- Export company — if the user profile contains a company, the plugin creates the corresponding Company in CRM in Cloud as well.
- Export orders — exports the user’s orders as opportunities, so the contact arrives in the CRM with their purchase history attached.
Once the options are set, the Export to CRM in Cloud button starts the process. Because a store can have thousands of users, the export runs in batches through Action Scheduler rather than in a single request — you can follow the progress and check the scheduled actions from the admin.
The same tab also offers a Delete contacts action, with an option to delete the linked companies too. It is a destructive operation and it is meant for cleaning up a test environment or starting over, not for routine use.
Exporting products
The Products tab exports your WooCommerce catalogue to the CRM. You select one or more product categories and the plugin sends the products in those categories, images included.
Working by category is what makes this practical: a store with a mixed catalogue can send only the categories that matter for the CRM, instead of pushing everything.
As with contacts, a Delete products action is available to remove all products from the CRM in one click.
Orders as opportunities
The WooCommerce tab is where orders are turned into opportunities. The options here are part of the premium version:
- Export orders — new orders are exported to CRM in Cloud as opportunities in real time.
- Split opportunities — creates a separate opportunity for every single order item, instead of one opportunity per order. Useful when you want to track products individually in the sales pipeline.
- Export company opportunities — if the customer has a company, the opportunity is created for the company as well.
Real-time export means the opportunity appears in the CRM as soon as the order is placed, without waiting for a manual sync.
Real-time synchronization
Beyond the one-off exports, the premium version adds real-time updates for contacts, companies and products. When a customer updates their profile, or a product changes in WooCommerce, the corresponding record in CRM in Cloud is updated automatically.
This is the difference between a migration and an integration: the initial export moves your data once, real-time sync keeps it correct afterwards.
Checkout fields for Italian e-invoicing
The Checkout tab adds the fields Italian customers need for electronic invoicing, directly in the WooCommerce checkout form.
- Tax documents — you choose which document types to offer: Company (Invoice), Private (Invoice) and Private (Receipt). Activating one or more of these makes the VAT number and Tax Code fields appear when they are needed.
- Document type — places the document type selector at the top of the form.
- Tax Code required — never, only with receipts, only with invoices, or always.
- Tax Code validation — activates a validity check on the Tax Code.
- VIES validation — activates the VIES validity check for the VAT number (requires SOAP enabled on the server).
- PEC — adds the PEC field for electronic invoicing.
- Recipient code — adds the Recipient Code (Codice Destinatario) field.
- Only EU — makes the VAT number mandatory only for European Union countries.
- Only Italy — shows the PEC and Recipient Code fields only to Italian customers.
The fields are saved with the order and shown in the order confirmation, in the customer’s account, in the admin order page and in the WooCommerce emails — so the billing information is available wherever the order is read.
Free and premium versions
The free version on WordPress.org covers the core workflow: exporting users as contacts, exporting companies, exporting products by category, and exporting orders as opportunities.
The premium version adds real-time updates for contacts, companies and products, real-time order export, split opportunities, company opportunities, and priority support.
Conclusion
Connecting WooCommerce to CRM in Cloud is not just a data migration — it is about making sure your sales team sees the same customer your store sees. Configure the connection, choose the roles and categories that matter, turn on real-time sync, and the CRM stops being a separate system that someone has to keep updated by hand.
